With Author, you can create templates for automatic PDF indexing. Every important informations of your file, will be extracted by passing through Author : the date of a contract, the personnel number of an employee, the first and last name of a customer on an invoice. You decide which metadata is important to extract from your document. You will then be able to send your documents in EAS and archive them in accordance with ISO-14641-1 and retrieve all your metadata attached to your documents, without ever having to provide an XML document or transcribe them by hand!

Creating a template

Creating a template is fast and visual. The template will allow you, once created, to automatically index all the documents following the same template. In case the file is a spool file, including several documents, it is necessary to cut it out. The template will also allow you to specify when this cutting should be done.

Defining metadata fields areas

After importing your document, you can now select metadata fields from within the content of your document. In a second step, you can assign specific parameters to your fields, such as the "Mandatory"attribute, which makes sure that a field is filled before any other action on the document. You can also define a specific format for the data (for example: two digits followed by six letters).

Access to archives in EAS

Once the automatic indexing has been completed in Author, you can archive your documents in an EAS electronic archiving system. From there, you will be able to consult your documents and use the meta data provided by Author to search for documents and manage them.
